The Information Technology and Data Coordinator is part of the Operations business unit and performs administrative work for two teams, Operations and RentSmart. The Information Technology and Data Coordinator is tasked with coordinating SOC2 compliant policies, procedures, and controls related to Information security as part of the Operations team for 70% of their role. The other 30% of the role supports the operations of RentSmart (RS) by ensuring accurate data transfer, organized documentation, professional communication with educators and partners, and consistent administrative processes to support project delivery.

Key responsibilities:
Information Security and Privacy
- Coordinate and maintain documentation for information security and privacy policies, procedures, and controls.
- Maintain centralized tracking spreadsheets: monitor updates, approvals, renewals, gaps, and implementation status.
- Monitor adherence to policies, flag and document gaps or noncompliance, analyze trends, and escalate issues as needed.
- Support rollout and adoption of security and privacy controls through tracking, follow-ups, clear documentation, and staff communication.
- Suggest training opportunities based on highlighted gaps and adherence challenges regarding privacy, confidentiality, and security, and organize and track those training opportunities that are selected by the Director of Operations.
- Coordinate reviews, signatures, reminders, and proper storage of required documents.
- Support risk assessments and audits by coordinating evidence collection, locating documentation, and tracking follow-ups.
- Ensure records are organized and handled in accordance with confidentiality, privacy, and data security requirements.
RentSmart Program Administration and Support
Administrative & Operational Support
- Maintain and organize program documentation, communications, and administrative processes.
- Support scheduling, meeting preparation, and internal/external project communications.
- Assist with standardized procedures and documentation and track deadlines and key milestones.
- Communicate with external vendors as needed.
Customer Service & Program Coordination
- Respond to inquiries and provide clear guidance on registration, program details, and course access in accordance with RS customer service guidelines and terms.
- Communicate next steps and follow-ups to registrants.
- Monitor and track registrations, memberships, renewals, certifications, and training progress.
- Escalate issues as needed and document communications for tracking, reporting, and follow-up.
Data & Systems Support (Salesforce & LMS)
- Perform data entry, verification, and quality checks to maintain system accuracy.
- Enter, transfer and assist with reconciling data across CRM (Salesforce), LMS, and tracking tools (including financial records).
- Maintain accurate tracking dashboards for registrations, inquiries, and program activity.
- Upload and organize LMS content and document progress or discrepancies.
Qualifications:
- Relevant experience in administrative support, including data entry, record management, and documentation
- Experience supporting programs, teams, structured or multi-stakeholder environments.
- Experience with databases or CRM systems (e.g., Salesforce) and learning management systems (LMS) or similar platforms preferred.
- Proficiency in Microsoft Office 365, particularly Excel, for data tracking, verification, and reporting.
- Knowledge of data privacy, confidentiality, and basic IT security practices considered important.
- Strong organizational and time-management skills, with the ability to manage multiple tasks, deadlines, and data systems.
- Familiarity with learner-centered organization or instructional design principles considered an asset.
- Sector knowledge and experience in a non-profit environment considered an asset.
- Bilingualism in English and French preferred.
